Watch AI employee Mia handle a Friday dinner rush call on its own computer

Pause and take control whenever you want. Watch AI employee Mia answer the call, check the floor plan with AI employee Hank, record a nut-allergy note for the kitchen, and stop for your approval on its own computer. How its own computer works.

Talia calls Fig & Ember Kitchen during the Friday dinner rush asking for a table for six at 7:00 p.m. ET for her sister's birthday, and asks whether the flatbread has tree nuts. AI employee Mia answers on the restaurant's Twilio line and checks the floor plan.

How many table, waitlist, and catering calls on your restaurant phone carrier log between 6 p.m. and 8:30 p.m. ET hang up on voicemail while your host is seating the dining room?

When a guest calls at 6:45 p.m. ET on Friday to book a party of six and reaches voicemail because the host stand has a line at the door, or an office coordinator calls at 11:45 a.m. ET during lunch rush to order boxed lunches for forty people, they call the next restaurant in search results before your staff checks the messages.

Run this two-minute check on your own phone log Open your phone carrier call log from Friday and Saturday between 5:30 p.m. and 9 p.m. ET over the past seven days. Compare every incoming number against your reservation book and catering folder to see how many callers hung up without leaving a voicemail.

In Omni Studio, AI employee Mia answers calls on your own Twilio number (a phone and text carrier that bills you directly for numbers and usage; see "Is anything billed on top of the plan?" on /pages/pricing), checks your floor plan and published menu on its own computer, and drafts the reservation reply, waitlist entry, or catering intake for your team. Sending, booking, signing, spending, and record changes wait for the owner's approval. Open a Free 14-day workspace, no credit card, or start the Pilot at $497 a month.

What AI employee Mia answers while the room is full

The phone rings hardest when the host is seating a four-top and the bar is full. In the Restaurants workspace, AI employee Mia answers your existing phone line, reads your floor plan and published menu, and works with the rest of your AI employee roster.

Routine questions about hours, parking, patio seating, dress code, or corkage fees are answered from the facts you wrote down in your workspace, and the call is logged on the service desk. When a caller asks for a table, wants to join the waitlist, or inquires about catering for forty guests, AI employee Mia captures every detail and prepares the next step for your staff to review.

In its February 12, 2026 outlook, the National Restaurant Association reported that nearly three quarters of restaurant operators plan to hire in 2026 while facing trouble finding experienced managers. Keeping routine phone intake and quote drafting in one queue lets your host stay with the guests at the door.

Reservations, party size, and the special occasion note

A voicemail recording leaves your host calling the guest back after the rush, when they have already booked another dining room. AI employee Mia captures the party size, preferred time, seating preference, and special occasion on the first call.

When a guest calls or texts for a table, AI employee Mia checks your floor plan capacity and current holds. If 7:00 p.m. ET is full for a party of six, AI employee Mia offers the two closest open slots, such as 7:15 p.m. or 8:00 p.m. ET, and notes whether two four-tops need to be joined. High-chair requests, wheelchair access notes, occasion notes for birthdays, and dietary flags are written directly onto the reservation card.

No caller is promised a confirmed table on the phone. The hold and the confirmation text wait for your host or manager to tap Approve. See the restaurant reservations, waitlist, and catering use case for the step-by-step approval screen.

The waitlist offer when a table cancels

When a Friday 7:30 p.m. ET four-top cancels at 5:45 p.m. ET, guests on your waitlist want that table, while your host is busy at the door and cannot stop to text them in order and track who replies first.

Inside the Restaurants workspace, reservations, walk-ins, and the waitlist share one floor plan. When a cancellation opens a table or a booth clears early, AI employee Hank and AI employee Mia match the open table against guests who asked to join the waitlist, ordered by party size, seating fit, and join time.

AI employee Mia drafts the table-offer text for the matched guests and puts the batch in your queue. When the first guest replies YES, you confirm their booking and AI employee Mia drafts a polite note letting the others know the slot was taken. AI employee Mia never messages anyone who did not join the waitlist or who replied STOP. Read the waitlist recovery workflow and deposits, reminders, and no-show follow-up for how deposits and cancellations work together.

Catering and large-party inquiries, from first call to quote

Office catering calls and private-dining inquiries often arrive at 11:30 a.m. or 2:00 p.m. ET while the manager is on the line or checking deliveries. When the quote waits until the next day, the office books elsewhere.

When a caller or email asks about drop-off catering or a private room, AI employee Mia records the event date, headcount, delivery address or room preference, and any dietary requests. AI employee Mia sends the dietary list to the kitchen so a person can confirm what the kitchen can prepare safely. Once the kitchen answers, AI employee Cody builds an itemized draft quote from your catering menu and prepares the deposit request link.

You review the line items, edit any pricing, and send the quote once it is ready. When the client pays the deposit through Stripe, AI employee Nora logs the payment and adds the order to that day's prep list. Step through the full six-panel walkthrough in A lunch for 40 guests on Friday.

Worked example for a Friday office lunch for 40 from inquiry to prep list

  1. AI employee Mia captures the request ((555) 010-0184): Jessica Lee from Harbor Design Group asks Fig & Ember Kitchen for lunch for 40 guests on Friday at 12:30 p.m. ET, with six vegetarian boxes, two gluten-free boxes, and one nut allergy.
  2. AI employee Mia flags the kitchen: AI employee Mia prepares the dietary list for the kitchen to confirm what can be made nut-free and gluten-free. AI employee Mia makes no allergy-safety promise to Jessica.
  3. AI employee Cody drafts the $900 quote: Using your catering menu (40 lunch boxes at $18, 40 drinks at $3, plus $60 delivery and setup), AI employee Cody drafts a $900 quote with a 25% ($225) deposit request.
  4. Rosa sends the quote and deposit link: Manager Rosa checks the kitchen's confirmation and taps Approve. The quote email and Stripe payment link go to Jessica once.
  5. AI employee Nora records the $225 deposit: Jessica pays by card. AI employee Nora logs the $225 deposit, shows the $675 balance due on delivery, and adds the 40 boxes and nine special requests to Friday's prep list.

Allergens, menu questions, and what it will not say

Allergen questions are answered only from your published menu data, and anything medical or allergic goes to a manager.

When a caller asks what is on the dinner menu or whether you have vegetarian options, AI employee Mia reads only the published menu items that your manager has published inside the workspace. Draft menu edits or unpublished seasonal items are gated until a manager publishes them.

If a caller asks whether a dish is safe for a peanut, tree nut, shellfish, milk, egg, soy, wheat, fish, or sesame allergy (the nine major food allergens listed by the U.S. Food and Drug Administration), asks about celiac disease, or reports a foodborne illness or medical reaction, AI employee Mia never declares a dish safe or gives medical advice. It records the exact allergy note on the reservation or order ticket and routes the conversation to a manager and the kitchen for a person to acknowledge.

Hard limits

  • Never promises allergy safety or makes medical or food-safety calls
  • Never answers menu questions from unpublished or unapproved menu drafts
  • Never confirms a table or large-party hold before staff approve it
  • Never charges a card, issues a refund, or changes a tab without approval
  • Never signs catering contracts or event agreements for you
  • Never texts a guest who has replied STOP or has not opted in

How it fits next to Toast, OpenTable, or Resy

Restaurants run a mix of point-of-sale terminals, reservation books, website forms, and accounting tools. We connect your restaurant tools during setup and configure changes to wait for your approval.

Omni Studio includes its own reservation book, public booking page, waitlist, floor plan, service desk, menu catalog, and catering quote builder in the Restaurants workspace. For external connections, it connects to your own Twilio number for calls and texts, Gmail, Google Calendar, Stripe, QuickBooks Online (accounting software that bills you under your own intuit.com plan; see "Is anything billed on top of the plan?" on /pages/pricing), DocuSign (an e-signature service that uses your own account), SpotHopper intake for website leads, catering inquiries, reservation notifications, and online-order notifications.

Yelp guest lead intake is readiness only, with no executable adapter. Custom workflows are scoped through Custom Build or Enterprise. Nothing is sent without your approval.

Toast and Square for Restaurants support order workflows with your own connected account. Toast shift and payment writes are not implemented. What runs alone, what waits for the manager, and what it never does

Every restaurant sets its own line between what the host stand handles and what requires a manager's sign-off. In Omni Studio, reading and drafting happen on the AI employee's computer, and outward actions wait for your sign-off.

Does on its own

  • Answers inbound calls on your Twilio number and transcribes the request
  • Answers hours, parking, and patio questions from published facts
  • Checks open tables, suggests waitlist matches, and drafts two time options
  • Captures catering headcount, dietary notes, and drafts the itemized quote

Waits for your approval

  • Confirming a table reservation, waitlist offer, or joined seating
  • Sending any SMS confirmation, catering quote, or deposit link to a guest
  • Publishing a menu update or acknowledging a kitchen allergen flag
  • Approving a manager override, discount, or supply order

Never does

  • Never promises a dish is allergy-safe or gives medical advice
  • Never confirms a table before your staff approve the booking
  • Never charges a card, issues a refund, or marks a tab paid on its own
  • Never posts publicly or changes records without review

Frequently asked questions

Direct answers about dinner-rush calls, reservations, catering orders, allergen rules, POS connections, and working hours. Talk to a person if your question is not listed here.

Can it answer while the line is busy with dinner guests?

Yes. AI employee Mia answers inbound calls on your connected Twilio number while your host is seating guests at the door, and drafts a text reply for any missed call. Every call is transcribed on the service desk, and any outgoing text or table hold waits for your staff to approve.

Does it take a reservation or just write it down?

AI employee Mia checks your floor plan capacity and current holds in the Restaurants workspace, offers up to two open time options that fit the party size, and creates a proposed reservation draft with the confirmation text ready. A table is confirmed only when your host or manager taps Approve.

Will it take a food order and a catering request?

For catering and private events, AI employee Mia captures the event date, headcount, delivery address, and dietary notes, and AI employee Cody drafts an itemized quote and deposit request from your catering menu for manager approval. For regular orders, the Restaurants workspace includes an orders screen, connects to Toast and Square for Restaurants once you connect your account, and receives online-order notifications through SpotHopper intake. No order or quote is confirmed until your staff approve it.

How does it handle an allergen question?

Allergen questions are answered only from your published menu data, and anything medical or allergic goes to a manager. AI employee Mia never promises that a dish is allergy-safe; it records the allergy note on the reservation or catering record and flags the manager and kitchen so a person can verify ingredients with the guest.

Does it work with Toast or OpenTable?

Omni Studio connects to Toast for importing orders, menus, and guest details and to Square for Restaurants for orders once you connect your own account (Toast shift and payment writes are not implemented). We check the apps, permissions, and records your workflow needs during setup. 1,500+ apps are available through Composio; a listed app does not confirm every action or a working connection for your account. We set up CSV imports for menus and guest lists with you through Custom Build or Enterprise. Nothing is sent without your approval.

Can it cover the line only when you are closed?

Yes. You set AI employee Mia's working hours on its profile in the workspace, and you can forward calls to your connected Twilio number only during closed hours, afternoon prep windows, or peak weekend dinner rush. Drafted replies and table requests wait in your approval queue for your next shift check-in.
