Rental showing scheduling from inquiry to confirmed tour

Quick answer

Rental showing scheduling is the path from a web inquiry to a confirmed tour. In Omni Studio, an AI employee reads the listing, availability, agent license and calendar, then drafts a reply with two tour times. Sending it and confirming the showing wait for the manager's approval.

We set up the workflows described here during Custom Build or Enterprise setup, using your records, tools, and approval rules. We agree on the scope with you first. Custom workflows are not included in the Pilot. Examples illustrate a possible setup, not a promise that every step is ready in a free workspace.

Illustration with sample data. This is a walk-through with sample data. The business, the people and the numbers are made up to show how the job works in Omni Studio. It is not a customer story.

Rental showing scheduling is the back-and-forth between a web inquiry and a confirmed tour, and it is easy to drop when the inquiry lands at night. The AI employee reads the listing, availability, agent license, and calendar, then drafts a reply with two open tour times. Sending and confirming wait for the manager.

Here is one inquiry at a fictional building, Tamsin Terrace Apartments. Tobias manages it and approves from his phone. Rosa is the licensed leasing agent who leads tours.

What does a rental showing inquiry look like at night?

At 10:12 p.m. on a Wednesday, a form on the building's listing page went to the leasing inbox. AI employee Mia, the chief of staff, logged it as a record:

Sample data: the inquiry as Mia logged it
Field Sample value
From Imani, imani@example.com, 555-0147
Asked about Unit 2B, a 2-bedroom, listed at $1,650 a month
Message "Is 2B still available? Could I see it this weekend?"
Received Wednesday, 10:12 p.m., listing page form

Nobody was in the office. A call would have reached Mia on the building's own number: AI phone answering is available. This one was a form.

What does rental showing scheduling read before drafting?

AI employee Hank, the AI employee for operations and dispatch, checked four records before offering a time.

Sample data: what the records showed
Record What it said
Listing Unit 2B, 2 bed, 1 bath, available from December 1; tours allowed on weekends
Availability Marked available; no signed lease and no pending application
Agent calendar Rosa free Saturday at 10:00 a.m., 11:30 a.m. and 1:00 p.m.
Agent license Rosa's license on file, with an expiry date after the tour
Hank beside a laptop, a calendar with two orange pins and two keys
Two open slots on the agent's calendar, set aside for one prospect.

In this sample setup, Google Calendar holds the calendar, Gmail holds the inquiry, and listing and license records come in by CSV import.

Records first, then a draft; the manager approves before anything is sent or confirmed.

What does a rental showing reply include?

One reply for Imani: two tour times and three short questions. Both times are open on Rosa's calendar. Neither is confirmed.

Three pre-tour questions

The draft asks

  • Which move-in date is she aiming for
  • Whether she wants to see other 2-bedrooms
  • Whether she prefers a reminder by email or text

Never asked

The draft leaves out

  • Who will live in the unit
  • Ages, family or background
  • Religion, health or disability
The pre-tour questions cover logistics only. Nothing asks about who a person is.

The sample questions are limited to logistics. Have a qualified reviewer confirm the wording and applicable housing requirements.

This sample does not determine legal compliance.

What waits for approval in rental showing scheduling?

The reply goes out in the building's name, and a tour commits Rosa's Saturday. In Omni Studio, sending, spending, signing and changing records wait for approval by default.

Tobias saw the draft, the records and the reasons. At 7:40 a.m. he approved it as written. He could have edited or declined it. The decision is logged.

A phone inquiry adds four checks first. AI employee Sam, the AI employee for compliance and checks, runs them before any showing is proposed. This is the drafted behavior for the real estate workspace.

  1. Caller confirms The caller says plainly that they want a showing.
  2. Exact property match The request matches one listing exactly.
  3. Verified license The agent who leads the tour has a current license on file.
  4. Reviewed slot The time is an open slot that someone has reviewed.

The checks pass first; then the time goes to the manager for a yes.

What happens after the tour is approved?

The reply went out at 7:41 a.m. At 8:05 a.m. Imani picked Saturday at 10:00 a.m. Hank drafted the confirmation and a calendar hold for Rosa.

Sample data: the log for this job
Time Action Approved by
10:15 p.m. Reply with two tour times drafted Waiting
7:41 a.m. Reply sent to Imani Tobias
8:12 a.m. Confirmation and Saturday 10:00 a.m. hold Tobias

What if two prospects ask for the same slot?

At 10:31 p.m., a second inquiry came in. Dario asked about the same unit and the same Saturday morning. The drafts did not offer Rosa's 10:00 a.m. to both people.

Sample data: how the slots were handed out
Slot Held in Why
Saturday 10:00 a.m. Imani's draft Her inquiry arrived first
Saturday 11:30 a.m. Imani's draft Her second option
Saturday 1:00 p.m. Dario's draft Still open on the calendar

Dario's draft offered 1:00 p.m. and a later slot, and said 10:00 a.m. was taken. The card told Tobias the order was first received, a rule Tobias can change.

When Imani picked 10:00 a.m., the 11:30 a.m. hold released. Hank drafted that time for Dario, and it waited for approval. No slot went to two people at once.

How do you try rental showing scheduling on sample data?

The showings and leasing use case runs this job on sample data. The speed to lead use case covers the first reply. Both sit in the real estate workspace, which is set up with you.

Mia, Hank and Sam are three of the seven AI employees. Mia is the only one on the outside phone line.

Frequently asked questions

Can an AI leasing assistant confirm a showing on its own?

Not by default. In Omni Studio the AI employee drafts the reply and the tour times, and the manager approves before anything is sent or confirmed. You can choose later whether a narrow step runs on its own. Every decision is logged.

What should pre-tour questions leave out?

Keep them to logistics, such as move-in date and how the person wants a reminder. Leave out who will live there, ages, family, religion, health and background. Have a qualified reviewer check the pre-tour questions and wording before use. This is general information, not legal advice.

Can it answer calls from rental prospects?

Yes. AI phone answering is available. Mia, the chief of staff, answers calls on your own number and texts back missed calls. A showing is proposed only after the drafted checks pass, and the time waits for approval.
