How an AI dispatcher for plumbers rebuilds the day after a sick call

Quick answer

An AI dispatcher for plumbers reads the board, licenses, equipment, and drive times when a technician calls in sick. It then drafts a new board and the customer texts. In Omni Studio, Hank, the dispatcher, prepares the plan. Moving jobs and texting customers wait for the owner's approval, and every decision is logged.

An AI dispatcher for plumbers rebuilds the day when the plan breaks, and the owner approves the result. In this walk-through, a technician calls in sick, and AI employee Hank, the dispatcher, reads the board and the open calls, then drafts a new day for the owner to approve.

We set up the workflow described here with you during Custom Build or Enterprise setup. We agree on the records, tool connections, and approval rules before you use it. Custom workflows are not included in the Pilot. Ask our team to configure this example before you try it. The free 14-day workspace uses sample data with simulated calls, texts, and email; daily limits apply. Phone numbers and message delivery on paid plans use your own Twilio account, billed separately by Twilio.

Illustration with sample data. This is a walk-through with sample data. The business, the people, and the numbers are made up to show how the job works in Omni Studio. It isn't a customer story.

This is one morning at a fictional shop, Marrowfield Plumbing. Gloria owns it, and Hank, the dispatcher, rebuilds the board.

What came in when the technician called in sick?

At 7:05 a.m. on a Thursday, Wes, the senior plumber, texted the office line that he had a fever and was not coming in. AI employee Mia, the chief of staff, logged it for Hank.

Sample data: the sick-day record
Field Sample value
From Wes, senior plumber, 7:05 a.m.
Jobs left open Four, the first due at 8:00 a.m.
Still working Ines and Kofi, journeymen; Benny, apprentice
  1. 1. Water heater swap Hollis, gas unit, 8 to 10 a.m.
  2. 2. Kitchen drain clog Ruth, 9 to 11 a.m.
  3. 3. Toilet and shutoff valve Amir, 12 to 2 p.m.
  4. 4. Sewer camera inspection Pat, a home sale, 2 to 4 p.m.
Sample data: the four jobs on Wes's board at 7:05 a.m.

What did the AI dispatcher for plumbers read?

Sample data: the records Hank read
Record What it showed Why it mattered
The rule card Gas work only by Wes or Ines; apprentices ride with a journeyman Only Ines could take the water heater
Boards and drive times Ines had a morning job; Kofi was near Ruth Who had room, and when
Equipment by van The sewer camera is in Wes's van No inspection today
Job notes Pat's inspection is tied to a home sale A move needed a call, not a text

Licensing requirements vary by state. Gloria confirms the shop's rule card with the appropriate licensing authority.

The owner approves the moves and the texts before anything changes

What did it draft for the new board?

By 7:12 a.m. Hank had a draft board.

Sample data: the draft board, before and after
Job Before Draft Customer message
Hollis, gas water heater Wes, 8 to 10 a.m. Ines, 10 a.m. to 12 p.m. Text with the new window
Ruth, kitchen drain Wes, 9 to 11 a.m. Kofi, 9 to 11 a.m. None; same window
Amir, toilet and shutoff Wes, 12 to 2 p.m. Kofi and Benny, 1 to 3 p.m. Text with the new window
Pat, sewer camera Wes, 2 to 4 p.m. Wes, tomorrow 8 to 10 a.m. Call notes for Gloria
Hank slides one of four job cards across a small board beside a laptop and a toy van
Each job moves only to a plumber the rule card allows

One judgment call stands out. Kofi was free at 2 p.m., but the camera was in Wes's van, so Hank didn't offer a slot nobody could keep.

Pat's notes mentioned a home sale, so Hank drafted call notes for Gloria instead of a text.

What waited for the owner, and why?

In Omni Studio, sending, spending, signing, and changing records wait for approval by default. Every move here did one of those.

No approval needed

Drafted by Hank

  • The new board, with a reason for each move
  • Two texts and one set of call notes

Approve, edit, or skip

Waited for Gloria

  • Moving jobs to Ines and Kofi
  • Texting new windows
  • Pushing Pat to tomorrow
Every decision is logged.

Confirm text consent and opt-out requirements with your advisor before messaging customers.

What if an emergency call lands mid-reshuffle?

At 7:31 a.m., before Gloria approved anything, Delia called about a burst supply line under the kitchen sink.

AI phone answering is available. Mia answers calls on the business's own number and is the only AI employee on the outside line. Mia read the shop's shutoff steps and wrote up the emergency.

Mia in a headset holds a card with an orange question mark beside a laptop and a small phone
The emergency made the draft out of date.

Kofi was closest to Delia but booked for Ruth at 9. Hank didn't pick who loses a window. The 7:12 draft was marked out of date, with two options:

A: Kofi goes to Delia

Arrives
About 8:00 a.m.
Cost
Ruth moves to 11 a.m. to 1 p.m.; a third text

B: Ines goes to Delia

Arrives
About 8:40 a.m.
Cost
Hollis moves to 1 to 3 p.m.; a long drive
Sample data: the two options drafted at 7:36 a.m.

Gloria picked A at 7:41 a.m. because water on a floor gets worse fast. A person decided who waits, and the reason is logged.

What happened after Gloria approved?

Hollis, Amir, and Ruth got new windows by text from the business number. Gloria called Pat at 8:15 a.m. using Hank's notes.

Sample data: the log for this morning
Time Action Approved by
7:05 a.m. Sick text logged by Mia; Wes's absence flagged for review No approval needed
7:12 a.m. Draft board: three moves, two texts, call notes Waiting
7:36 a.m. Draft marked out of date; options drafted Waiting
7:41 a.m. Option A approved; Kofi sent to Delia; three texts sent Gloria approved

Frequently asked questions

What does an AI dispatcher for plumbers do when someone calls in sick?

It reads the open jobs, your rule card, each plumber's board, drive times, and the equipment in each van. Then it drafts a new board and the customer texts. Moving jobs and sending texts wait for your approval.

Who answers an emergency call while the board is being rebuilt?

AI phone answering is available. Mia, the chief of staff, answers calls on your own number and drafts a text back to missed calls for your approval. Hank then redrafts the board with options, and you choose who waits.

Can it work with the plumbing dispatch software I already use?

Omni Studio has its own jobs and dispatch in the home services workspace. Customer and job records come across by CSV import, and Omni Studio works with 1,500+ apps through Composio.
