Roofing estimate follow-up on day 6, drafted by an AI employee

Quick answer

A good roofing estimate follow-up on day 6 answers the homeowner's open question, offers a second option, and gives two times to walk through the inspection. In Omni Studio, Cody, the AI employee for sales and estimates, drafts it from the estimate and the inspection notes. Sending it, and any change to the price, waits for the owner.

A roofing estimate follow-up is the message a homeowner gets after the estimate when no reply has come. Many go out late or say only "just checking in." This one was written on day 6 by AI employee Cody, and the owner approves it before it sends.

We set up the workflows described here around your records, tools, and approval rules during Custom Build or Enterprise setup. Custom workflows are not included in the Pilot. The examples illustrate the steps; we agree on the scope with you before using live records.

Illustration with sample data. This is a walk-through with sample data. The business, the people, and the numbers are made up to show how the job works in Omni Studio. It isn't a customer story.

This one was written on day 6 at a fictional company, Tamsin Hollow Roofing, by Cody, the AI employee for sales and estimates. Dee owns the company and approves the work.

  1. Day 2 The first follow-up goes out.
  2. Day 6 Cody drafts the second one, with a new option.
  3. Day 6 At 8:31 a.m. Dee edits the time and approves.
  4. Day 12 The next follow-up is scheduled as a draft that waits for approval.

What came in?

No reply came in. The follow-up schedule flagged an estimate that had gone quiet:

Sample data: the estimate record on day 6
Field Sample value
Homeowner Elena, 12 Linden Court
Estimate Full replacement, architectural shingles
Sent Six days ago, by email
Opened Twice, the last time two days ago
Replies None since sending
Follow-ups so far One, on day 2

What did the AI employee read for the roofing estimate follow-up?

Cody opened five records before drafting:

Sample data: the five records Cody read and why
Record What it showed How it shaped the draft
The estimate Line items, the shingle line, and the price The draft refers to the right job
The inspection notes and photos The damage is on the two north slopes. The south slopes are worn but sound It makes a second option possible
Elena's emails Before the estimate, Elena asked whether the whole roof needs replacing. Nobody had answered that in writing The draft answers that question first
The price list Tamsin Hollow's own prices per square and per slope Any second option must come from it
Insurance status Elena mentioned a claim but no adjuster visit is booked yet The draft avoids coverage. That's Dee's conversation to have
The follow-up is drafted from the estimate and the inspection notes, and waits for the owner before it is sent.

What did it draft?

Cody drafted a short email that answers Elena's question first, adds a repair-only option for the two north slopes, and offers two times for Dee to walk through the photos. The draft is on the card below.

Option 1, on the estimate already

Full replacement

  • Architectural shingles
  • Price not lowered

Option 2, new in the draft

Repair-only, two north slopes

  • Priced from Tamsin Hollow's own price list
  • Uses the inspection measurements
Sample data: both options sit side by side on one estimate.

Cody did not lower the price of the full replacement. A homeowner who doubts the scope usually needs the scope explained.

What waited for the owner, and why?

Two things waited for Dee: sending the email, and adding a new option with a new price to the estimate.

In Omni Studio, sending, spending, signing, and changing records wait for approval by default. Dee read the card, changed "Saturday at 10 a.m." to 9 a.m., and approved. The edit and the approval were logged.

The follow-up waits on a card until the owner approves it.

What happened after approval?

The email went out from Dee's own account. The estimate now shows both options, and the next follow-up is scheduled as a draft for day 12, which will wait for approval like this one.

Sample data: the log for this follow-up
When Action Approved by
Day 6, 8:05 a.m. Follow-up and repair-only option drafted by Cody Waiting
Day 6, 8:31 a.m. Saturday time edited; email approved Dee
Day 6, 8:31 a.m. Email sent; estimate updated; day 12 draft scheduled Dee's approval at 8:31 a.m.

Could this go wrong, and what stops it?

Say Elena replies with a lower quote from another roofer. Cody doesn't match it. If Elena attached the quote, Cody reads it and drafts a note for Dee that compares the scope.

The note checks whether the other quote includes these items, all of which the inspection notes call for:

  • Tear-off
  • New underlayment
  • Ice and water shield at the eaves
  • Replacing soft decking

It then drafts two replies for Dee to choose from: one that explains the scope difference, and one that offers the repair-only option again. Any price change is Dee's decision, and the draft says so.

Frequently asked questions

When should a roofer follow up on an estimate?

Set a schedule you can keep, such as a first check-in a couple of days after sending, a second around day 6, and a last one later. The day matters less than the content: each follow-up should answer the homeowner's open question. In Omni Studio, you set the schedule and approve each draft.

Will the AI employee change my price?

No. It can draft a second option from your own price list, but adding it to the estimate and sending it wait for your approval. It never discounts or matches another quote on its own. It lays out the scope and asks you.

Does it handle insurance claims?

No. It can note what the homeowner has said about their claim and remind you when an adjuster visit is due, but it doesn't advise on coverage or deal with the insurer. Those conversations stay with you.

Can it answer the calls that come in from a follow-up?

Yes. AI phone answering is available in Omni Studio. AI employee Mia, the chief of staff, answers calls on your own number and passes estimate questions to Cody's follow-up as a note on the record.
