Reputation management for small business as a weekly routine

Quick answer

Reputation management for small business comes down to four habits: ask each customer for a review after the job, answer each review honestly, fix the problems reviews point to, and learn from the monthly pattern. An AI employee can draft the requests and replies, while you approve each one and never buy or gate reviews.

Reputation management for small business is the steady work of asking customers for honest reviews, answering what people post, fixing the problems reviews point to, and learning from the pattern. For a contractor, it is a weekly routine that fits around the jobs. An AI employee drafts each request and reply, and you approve what goes out.

We set up the workflow described here with you during Custom Build or Enterprise setup. We agree on the records, tool connections, and approval rules before you use it. Custom workflows are not included in the Pilot. Ask our team to configure this example before you try it. What does reputation management for small business look like in a trade?

Homeowners often read reviews before they call a plumber or a roofer. What they find comes from four habits.

The four parts of reputation management and what each looks like in a trade business
Part What it looks like Where it slips
Ask A short text or email after a finished job, with your review link Busy weeks, when nobody sends it
Answer A short, honest reply to new reviews, good and bad Replies written in a hurry or not at all
Fix A call to the unhappy customer and a real repair or refund decision The complaint sits in an inbox
Learn A monthly look at what reviews praise and what they complain about Nobody reads them side by side

Reputation management for contractors has one twist: the ask has to happen while the visit is still fresh.

Review management software, an agency or an AI employee: which fits a contractor?

There are three common ways to get help. Read this as a map. It does not rank the three.

Three categories of help with reviews and what each usually covers
Category What it usually does What stays with you
Review management software Sends requests on a schedule and gathers reviews in one place Writing replies and deciding what to fix
Reputation agency People who write replies and report monthly for a fee Approving their voice, and the fixes
AI employee Drafts requests and replies and flags complaints, in your records Approving each send and reply, and the fixes

Online reputation management tools differ in who writes the words. Ask each vendor whether it posts for you and who approves a reply.

What does the AI employee do?

In Omni Studio, AI employee Reggie handles marketing and growth, which covers reviews, reactivation and marketing. For reputation, the job has three parts.

  1. Review requests after jobs When a job closes, it checks consent and drafts a short request with your review link.
  2. Reply drafts You paste in a review; it drafts a reply for you to edit and post.
  3. Issue flags to the owner A complaint is summarized for you, with a reply to approve.
Three parts of the reputation job, each ending with your approval.

Reviews can be pasted or imported, or custom review intake can be scoped during setup. A person posts every public reply.

Sending a request, replying to a complaint and any credit or refund wait for your approval. Every decision is logged.

During setup, we connect your Twilio and Gmail accounts for approved requests, and help import job records from a CSV file.

The review requests use case walks through one job.

The request is drafted from the job, waits for your approval, and is logged on the customer's record.

Which review rules matter, and what do they ban?

This is general information and does not replace legal advice. The rules below come from the FTC and Google. Check the primary sources, and ask a lawyer about your own case.

The FTC's consumer review rule, 16 CFR Part 465, was finalized in August 2024 and took effect on October 21, 2024. Google has its own review rules.

Review rules a contractor should know, and where each comes from
Rule What it means in practice Source
Do not buy or fake reviews No paying for positive reviews, and no reviews from people who never used you FTC rule, 16 CFR Part 465
Disclose insiders A review by an employee or a relative needs a clear disclosure FTC rule, 16 CFR Part 465
Do not suppress reviews No baseless legal threats, intimidation or false accusations FTC rule, 16 CFR Part 465
Do not gate reviews Do not ask only the happy customers. The FTC says this could break the FTC Act FTC rule Q and A; FTC Endorsement Guides
No incentives on Google No discount, free service or payment for a review, a change or a removal Google Maps content policy
Reply with facts Short, polite, relevant replies; no private details and no personal attacks Google Business Profile Help

Ask everyone, pay no one, and reply with facts.

Ask each customer whose job closed, not only the ones who smiled. Never tie a discount to a review, and never threaten a reviewer.

Good Google review replies are short and specific: thank people, own real mistakes and move a complex issue to a private call.

What is a good weekly and monthly routine?

A reputation routine for a small trade business
When What you do What the AI employee prepares
Each morning Approve requests for yesterday's closed jobs One request per consenting customer
Twice a week Paste new reviews in, edit and post replies A reply draft for each
Same day Call any customer flagged with a problem A complaint summary and reply draft
Monthly Read the month's reviews and pick one fix What was praised and what was raised

If three reviews mention late arrivals, that is a dispatch problem, and better replies will not fix it.

The AI marketing assistant guide shows where reviews sit in local marketing.

How do you start with last month's reviews?

  1. Collect last month Copy the last 30 days of reviews into one place.
  2. Reply to the gaps Draft and post a reply for each review that has none.
  3. Sort the complaints Group them: arrival time, price, cleanup, communication.
  4. Pick one fix Change one thing about the most common problem.
  5. Ask after each job From this week, send a request after each closed job.
A first week, starting with the reviews you already have.

Frequently asked questions

What is reputation management for a small business?

It is the routine of asking customers for reviews, replying to what they post, fixing the problems reviews raise, and reading the pattern each month. For a contractor it is a habit after each job.

Can I ask only my happy customers for reviews?

You should not. Google's policy bars selectively asking for positive reviews, and the FTC says review gating could violate the FTC Act. Ask each customer whose job closed. This is general information and does not replace legal advice.

Can I offer a discount for a review?

Not on Google: its policy bars discounts, free service or payment in exchange for a review. The FTC rule bans paying for reviews that must express a particular sentiment. Ask, and pay no one.

Does the AI employee post replies on Google for me?

A person posts every public reply. You can paste or import a review for a draft reply, or ask our team to scope custom review intake during setup.
