AI bookkeeping for small business: what to automate and review

Quick answer

AI bookkeeping works best on the prep work: sorting transactions, flagging the odd ones, chasing missing receipts, drafting invoice reminders and building the month-end list. Posting entries, moving money and signing off reconciliations should stay with a person. In Omni Studio, an AI employee drafts that prep work and waits for your approval.

We set up the workflows described here around your records, tools, and approval rules during Custom Build or Enterprise setup. Custom workflows are not included in the Pilot. The examples illustrate the steps; we agree on the scope with you before using live records.

AI bookkeeping is software that does the routine preparation of your books. It sorts transactions, matches them to invoices and bills, flags what does not fit and drafts the requests and reminders that keep the books current. Posting entries, payments and reconciliation sign-off wait for a person.

The useful question for a small business is which parts of bookkeeping to automate and which parts a person must still review.

This is general information, not legal, tax or accounting advice. Your bookkeeper or accountant should set the rules for your books.

What kinds of AI bookkeeping tools are there?

Three kinds of product are sold under the same name, and they do different things:

Three kinds of AI bookkeeping tool and what each one does
Kind What it does Who does the review
Features inside accounting software Suggests categories and matches bank lines inside the ledger You, inside the accounting software
Outsourced bookkeeping service using AI A firm keeps your books with software help and sends monthly statements The firm's bookkeepers, then you
AI employee Works across your ledger, inbox and invoices: prepares, chases and drafts You or your bookkeeper, on each approval card

The first is good at sorting inside one ledger. The second takes the work off your plate but on the firm's schedule.

An AI employee sits in between. It does the chasing and the drafting that falls between the ledger and your inbox, and it asks before anything goes out or gets posted.

What should AI bookkeeping automate?

We set up AI employee Nora, who handles billing, books and reports, to prepare the agreed bookkeeping drafts. The examples below show that preparation:

The prep work Nora can take on
Job What it does
Suggest categories and matches It reads the bank export and the ledger and suggests a category or a matching invoice or bill for each line, with the reason.
Flag what does not fit Duplicate charges, a payment with no invoice, an amount that differs from the bill: each goes on a short list for a person.
Chase missing receipts It drafts a request to the staff member or vendor behind a charge with no receipt.
Draft invoice reminders For open invoices, it drafts a polite reminder with the amount and a way to pay. The invoice follow-up use case shows this job end to end.
Prepare the month-end list What is unmatched, what is missing and what needs a decision, so the close starts from a list instead of a search.

A charge with no receipt becomes a drafted request, not a search.

The month-end guide shows how that list turns into a close.

What should always wait for a person to review?

Three kinds of step change your books or your money, so in Omni Studio they wait for your approval by default:

  1. Posting Any journal entry, adjustment or category change in the ledger. Nora prepares the entry; it is posted only after a person approves it.
  2. Payments Paying a bill, issuing a refund or a credit. It prepares the payment for review, and payments wait for your approval by default.
  3. Reconciliations It lines up the matches and the exceptions. A person signs off, and it never certifies a reconciliation.
Three steps that wait for a person.

It does not change bank details, move trust or escrow money, or file taxes.

We connect your QuickBooks account during setup and agree on which records Nora reads and which changes require approval. Approved changes are recorded in the activity log.

How the QuickBooks connection works covers what it reads and writes.

What should you ask before you buy AI bookkeeping software?

Five questions to ask before you buy
Ask What to look for
Who approves? Which steps post or pay without a person, and can you change that per job?
What is logged? Can your accountant see what was suggested, what was approved and by whom?
Where does the data stay? In your own accounts and workspace, or copied somewhere else?
What is in place for security? Ask for the status of each item in writing. In Omni Studio, the security page separates measures in place from work in progress; the security page has the current status.
What does it connect to? Omni Studio works with QuickBooks, Gmail and Stripe, and with 1,500+ apps through Composio. Bank exports come in by CSV import.

How do you try AI bookkeeping on a sample ledger?

Start in a free workspace that runs 14 days on sample data, with no credit card. Run the invoice reminders job on the sample ledger, read each draft and the reason behind it, and check the log.

When you move to your own records, approve every suggestion for the first month. See the pricing page for current plans and setup scope.

Frequently asked questions

Can AI do my bookkeeping?

It can do much of the preparation: suggest categories, match bank lines to invoices and bills, flag odd items, chase receipts and draft reminders. A person should still post entries, approve payments and sign off reconciliations. In Omni Studio those steps wait for your approval by default.

Does AI bookkeeping work with QuickBooks?

Yes. We connect your QuickBooks account during setup. The AI employee reads the ledger and open invoices, drafts its suggestions and reminders, and nothing is posted to the ledger until you approve it.

Is AI bookkeeping a replacement for my accountant?

No. An AI employee prepares and drafts; it does not give tax or accounting advice, file returns or certify anything. Your bookkeeper or accountant reviews the work, and the log shows them what was suggested and who approved it.

Where does my financial data stay?

In your Omni Studio workspace and in the accounting tools you connect. Omni Studio's security page separates measures in place from work in progress, and the current status is on the security page. Ask any vendor the same question and get the answer in writing.
