What waits for your approval in an AI QuickBooks integration
Quick answer
The AI QuickBooks integration lets an AI employee read your invoices and customers, list what's overdue, and draft the reminder. Posting, categorizing, and writing off wait for your approval. The QuickBooks Online connection is available, so invoices and customers sync with your books, and you can still import invoices from a CSV file.
An AI QuickBooks integration lets an AI employee read your invoices and customers from QuickBooks Online and draft the next step. Once it is live, it can list what's overdue, draft the reminder, and flag payments that don't match. It doesn't post an entry, change a balance, or write off an invoice. Those wait for your approval.
The QuickBooks Online connection is available. CSV import is there when you need it.
What does the AI QuickBooks integration do?
The connection is built to send invoices and customers to QuickBooks Online and read them back. A reminder drafted in Omni Studio is then built from the same invoice you see in your books. You keep one set of records, and the AI employee reads what you already have.
Say an invoice for a small repair is two weeks late. The AI employee reads it, sees that the customer has paid on time before, and drafts a short, friendly note. You read it, change a word, and approve. The reminder goes out once, and the send is logged on the customer’s record.
The connection has limits. It works with QuickBooks Online only, and we set up bank and payroll feeds for you. It doesn't file taxes, run payroll, or give tax advice. Those stay with your accountant and your payroll provider. If your books live somewhere else, import invoices from a CSV file instead.
How does an AI employee handle an overdue invoice?
Take the usual first job. AI employee Nora, the bookkeeping and billing employee, reads the late invoice and the customer’s history, drafts the reminder, and waits. You decide whether it goes.
What does an AI employee do with your books?
Nora does the reading and the drafting. You do the deciding.
| Job | What the AI employee prepares | What waits for you |
|---|---|---|
| Overdue invoices | Lists what's late by age and amount, reads each customer’s history, and drafts a polite reminder | Sending it, setting up a payment plan, writing off or adjusting the invoice |
| Payments that don't match | Flags a payment with no matching invoice and suggests a match | Applying the match or changing the record |
| Month-end exceptions | Sorts the items that need a decision and drafts the close checklist | Posting an entry, categorizing, reconciling, changing a balance |
| Weekly summary | Pulls together the figures it can source, with the source named | Sharing it outside your business |
Why do changes to the books wait?
A wrong reminder is awkward. A wrong entry in the books can sit unnoticed until a close, or until tax season, and then it takes real work to find. So the line sits at the books. Reading and drafting happen directly. Anything that posts, categorizes, reconciles, or writes off waits for a person.
The AI employee does the reading, and a person keeps the posting.
When you approve, the change runs once. If it fails, it can be retried without creating a duplicate, and the decision is logged with who approved it. What an approval card should show lists what you should see before you click.
What should you do before the connection goes live?
- Check which QuickBooks you use. The connection is for QuickBooks Online.
- Name the approver, the person who would catch a wrong entry: you or your bookkeeper.
- Duplicate customers and old open invoices will show up in the drafts, so fix those first.
- Connect, then compare what the AI employee lists with your own books before you ask for a single reminder.
- Start with overdue invoices, the usual first job. The month-end gathering can follow.
Note. The QuickBooks connection is set up with our team. Ask us for its current status in your workspace before you plan around it. This is general information. Omni doesn't give tax or accounting advice.
