What an AI office manager does for a service business
Quick answer
An AI office manager is software that does a small service business's routine office work: sorting the inbox, checking the schedule, chasing late invoices, and writing the weekly report. In Omni Studio it reads your records and drafts each step. Sending, paying, signing, and changing records wait for your approval.
We set up the workflows described here around your records, tools, and approval rules during Custom Build or Enterprise setup. Custom workflows are not included in the Pilot. The examples illustrate the steps; we agree on the scope with you before using live records.
An AI office manager is software that does the steady office work of a small service business: sorting the inbox, keeping the schedule straight, chasing late invoices, setting reminders, and writing the weekly report. AI employee Olivia, the AI employee for office work, reads and drafts; sending, paying, signing, and changing records wait for you.
During setup, we configure Olivia as the office manager, working beside the other AI employees. They read your records and draft the work. Sending, spending, signing, and changing records wait for your approval.

What does an office manager do all day in a small service business?
The checklist below covers taking messages, scheduling, mail, invoices, reports, and bookkeeping preparation.
| The work | How often | Where it slips |
|---|---|---|
| Inbox and messages | All day | A quote request sits under a newsletter |
| Schedule and calendar | Daily | A change is made in one place, not the other |
| Invoices and reminders | Weekly | Chasing is the job that gets put off |
| The owner report | Weekly | It waits for the bookkeeper |
Which of those jobs can an AI office manager do?
Five fit well. Each reads the records, drafts the next step and hands it to you.
- 1. Inbox triage Messages sorted and answered in draft
- 2. Schedule Changes checked against the calendar
- 3. Invoices Late ones listed by age
- 4. Reminders Polite notes drafted, not sent
- 5. Weekly report Last week in one page
The office manager is a job that several tools share. In Omni Studio the work is shared. Olivia keeps records straight and flags what needs a person. Others do the front desk, scheduling, and billing. See the seven AI employees.
How does inbox triage work?
Each new message is read and placed in a group: a new customer, a booking change, a bill question, a vendor, or something else.
For each one, the AI employee drafts a reply from your records and your wording. It doesn't send. You approve, edit, or skip.

We connect Gmail and Google Calendar during setup. Records can also arrive as a CSV import. Omni Studio works with 1,500+ apps through Composio.
Calls are a separate line. AI phone answering is available: AI employee Mia, the chief of staff, answers calls on your own number and drafts text-backs for you to approve.
Can it keep the schedule straight?
It can check. When a customer asks to move a visit, the AI employee reads the calendar, finds conflicts and drafts the change and the reply together.
Moving a booking changes a record, so it waits for your yes. The front desk and appointment booking use case shows the flow. We scope this job with you during setup.
What about invoices and reminders?
Every Monday the AI employee lists open invoices by age and amount. It reads each customer's payment history and terms. Then it drafts a reminder with the invoice attached.
The invoice follow-up use case walks through it. We connect QuickBooks or import invoice data from CSV during setup. Taking a payment through Stripe also waits for you.
What does an AI office manager never do alone?
AI employees read, draft, and prepare on their own. Four things wait for you: sending, spending, signing, and changing records.
Reads and prepares
Does on its own
- Sorts the inbox
- Lists late invoices by age
- Drafts replies, reminders and the weekly report
By default, each time
Waits for your yes
- Sending a message or a reminder
- Paying a bill or taking a payment
- Signing or agreeing to anything
- Changing a booking, an invoice or a record
People decisions
Stays with you
- An angry customer
- A refund or a credit
- Hiring decisions
Payments always require approval. Any automatic sending is limited to the channel settings listed in Settings. Every decision is logged with who approved it and when.
How does an AI office manager compare with hiring and with a virtual assistant?
| AI office manager | Hiring an office manager | Virtual assistant | |
|---|---|---|---|
| Best at | Repeating checks, sorting, drafting | Judgment, people, anything on site | Flexible one-off tasks |
| Works from | Your records, with a decision log | Your office and systems | Your instructions |
| Sends and pays | Only after your approval, by default | Yes, once trusted | Depends on the access you give |
| Cost | See pricing for plans and setup scope | Pay, taxes and benefits | Hourly or by package |
| Set up | Free 14-day workspace on sample data | Posting, interviews, onboarding | Finding and briefing someone |
Compare the full cost and responsibilities of each option, including pay, taxes, benefits, and supervision when you hire a person.
This isn't a like-for-like swap. A person can calm a customer. An AI office manager can check every open invoice each Monday. Some owners want both.
What does a week with an AI office manager look like?
The table is sample data for a made-up 12-person service company. It shows the shape of a week and makes no claim about results.

| Day | What came in | What was drafted | What the owner did |
|---|---|---|---|
| Monday | Last week's jobs, invoices and payments | The weekly report with sources | Read it, asked one question |
| Tuesday | A customer asks to move Thursday's visit | A reply and the calendar change | Approved |
| Wednesday | 12 new messages, one a vendor bill | A sorted list and nine drafted replies | Approved eight, edited one |
| Thursday | Three invoices past due | Three reminders | Sent two, skipped one |
| Friday | A renewal date two weeks out | A drafted note to the customer | Approved |
Read the weekly report first. The weekly owner reports use case shows how each number keeps its source and update date.
How do you start with the inbox and the weekly report?

Frequently asked questions
What is an AI office manager?
It's software that handles routine office work: sorting the inbox, checking the schedule, listing late invoices, drafting reminders, and writing a weekly report. In Omni Studio it drafts and prepares, and anything that sends, spends, signs, or changes a record waits for you.
Can an AI office manager pay bills or send invoices on its own?
Payments always require your approval. Sending invoices also waits for approval by default, and every decision is logged. Any automatic sending is limited to the channel settings documented in Settings.
Is an AI office manager the same as a virtual assistant?
No. A virtual assistant is a person you brief, often by the hour. An AI office manager works from your own records, repeats the same checks every week and logs each decision. You can choose a person, software, or both.
