AI agents for business: what an AI employee is and never does alone

Quick answer

An AI employee is software that does one job in your business inside your own records: it reads, drafts, and prepares the work, then waits for your approval before it sends, spends, signs, or changes anything. Every decision is logged. In Omni Studio, AI usage is included in every plan, and you can try one free on sample data.

AI agents for business are software tools that do a job without a person typing each step. In Omni Studio the agent is called an AI employee: it does one job in your business, reads your records, drafts the work, and waits for your approval before anything goes out.

A chatbot only talks, and an automation rule fires the same step every time. An AI employee works inside your customer records, your calendar, and your inbox, and it logs every decision.

Below, we cover the jobs it does, what it never does alone, how it differs from other AI tools, and how to try one.

What is an AI employee?

It has a job, the records that job needs, and a list of things it must ask you about first.

In Omni Studio, AI employees read, draft, and prepare on their own. Sending, spending, signing, and changing records wait for your approval.

You choose what, if anything, may run on its own later. Every decision is logged with who approved it and when.

  1. A jobOne clear piece of work, such as answering calls, following up on quotes, or chasing late invoices.
  2. Access to your recordsThe customer, the job history and the calendar, so a draft fits the person.
  3. Rules it followsWhat it may draft, what waits for you, and what it is built not to do at all.
Three parts make it an employee rather than a feature.

It works from your own records: the customer, the job history and the calendar.

Omni Studio's AI employees are listed on the AI employees page, each with its job and its guardrails.

AI usage is included in every plan, so you don’t get a separate bill for the AI itself.

What does an AI employee do in a service business?

Most owners start with work that repeats, ends in a draft you can read, and is cheap to fix. Five common jobs, with the records each one reads:

Five common jobs and what each one reads and drafts
Job What it reads What it drafts for you
Answering calls The caller, the customer record, your calendar A write-up of the call and a booking to approve
Missed-call text back The missed-call log and the customer history A short text with two open times
Quote follow-up Quotes sent and the replies so far A polite follow-up at the step you chose
Invoice reminders Open invoices and payment history A reminder with the amount and a way to pay
Weekly owner report Jobs, bookings, invoices and the activity log A one-page summary with where each number came from

Calls come up most. AI phone answering is available. Mia, the chief of staff, answers calls on your own number and texts back missed calls.

Mia is the only one on your outside phone line. The others work behind it on the records.

Not sure where to begin? How to decide which job to give your first AI employee has a three-question test.

What does an AI employee never do alone?

By default it never sends, spends, signs, or changes a record without a person saying yes.

The four actions that wait for your approval
Action What the AI employee does What waits for you
Send Drafts a text, email or quote and puts it on an approval card Sending it
Spend Prepares a payment, a refund or a purchase Spending any money
Sign Fills in a contract or form for you to read The signature
Change Proposes a booking, a schedule change or a discount Making the change
Mia in a headset holds up a card with a question mark beside a laptop and an envelope
A draft waits on an approval card until you approve, edit or skip it.

The card shows the draft, the records used and the reason. What an approval card should show before you click approve walks through one.

Once a job has run cleanly for a while, you can let a narrow, low-risk step run on its own. The log still records each one.

Every job follows the same loop: it reads and drafts, you approve, and the decision is logged.

AI employee vs chatbot vs AI receptionist vs automation tool

Four kinds of AI tool get mixed up. The difference is where each one stops.

Four kinds of AI tool and where each one stops
Tool What it does Where it stops
Chatbot Answers questions in a chat window from a script or a knowledge base It talks; the work after the chat is still yours
AI receptionist A phone answering service run by software: it takes a message or a booking Usually at the booking; follow-up, quotes and invoices sit elsewhere
Automation tool Runs fixed steps when a trigger fires, such as copying a form into a sheet It follows the steps you built, even when the situation changes
AI employee Does a whole job inside your records: reads, drafts, asks, then acts on your yes Sending, spending, signing, and changing wait for your approval by default

It also uses the tools you already have. Omni Studio's AI employees work with Gmail, Google Calendar, and QuickBooks, and we connect the other tools you already use.

The list is on the platform page. Where a person must stay in the loop, human-in-the-loop AI for small business explains where people fit.

How do you start with an AI employee?

Four steps, one job at a time:

  1. Pick one jobWrite down what it reads, what it may draft and what waits for you.
  2. Try it on sample dataThe free workspace runs 14 days on sample data with no credit card.
  3. Move to your recordsApprove every draft for the first weeks and read the log.
  4. Decide what runs on its ownOnly steps you have seen go right many times, and only if you want to.
Start small: one job, sample data first, every draft approved.

On sample data you see every draft before your own customers are involved.

When you are ready for your own records, the Pilot is $497 a month with AI usage included. The plans are on the pricing page.

Frequently asked questions

Is an AI employee a real person?

No. An AI employee is software. It has a job, reads the records that job needs, and drafts the work, but a person approves anything that is sent, spent, signed, or changed. It never pretends to be a person, and every decision it prepares is logged.

Can it answer my phone?

Yes. AI phone answering is available in Omni Studio. Mia, the chief of staff, answers calls on your own number and texts back missed calls. Any booking or reply that follows the call waits for your approval by default.

What does an AI employee cost?

Omni Studio's Pilot is $497 a month, Custom Build starts from $4,500 a month, and Enterprise pricing is set with a person on a call. AI usage is included in every plan. The free workspace runs 14 days on sample data with no credit card.

Can it act without asking me?

Only if you choose to. The default is that sending, spending, signing, and changing records wait for your approval. After a job has run cleanly, you can allow a narrow, low-risk step to run on its own, and each one is still logged.

What tools does an AI employee work with?

Omni Studio's AI employees work with Gmail, Google Calendar, and QuickBooks, and we connect the other tools you already use. We connect Twilio and Stripe during setup. The current list is on the platform page under connections.
