How to check open house sign-in follow-up using your own sheet and notes
Compare your Sunday sign-in sheet against your post-event notes on Monday morning so you know which visitors received a personal reply and which ones still need an agent's review.
To check whether open house sign-in follow-up happened, look at three records your team already has on Monday morning:
- The original paper sign-in sheet or tablet form from the open house.
- The hosting agent's handwritten or voice notes about what specific visitors asked at the property.
- Your sent email, text, or call log showing which visitors already received an approved follow-up message.
Comparing the raw sign-in lines against the sent log shows immediately whether legible contacts were entered, whether visitors who already have an agent were separated from unrepresented visitors, and whether specific disclosure or property questions are still waiting on the listing agent.
Walk through your sign-in sheet with the hosting agent using these five steps:
- Count total sign-in rows and check legibility: Go down the sheet line by line. Mark any phone number or email address that is missing a digit or hard to read while the hosting agent still remembers the conversation.
- Check representation status first: Separate visitors who signed in as working with another real estate agent from visitors who stated they are unrepresented. Make sure your team follows your brokerage and state rules for represented visitors.
- Pair each visitor with the property question they asked: Did a visitor ask about the roof age, HOA rules, seller timeline, or school boundary? Write that exact question next to their name so the follow-up is specific rather than generic.
- Match each row to a drafted or sent follow-up: Mark one status per visitor:
- Draft reply prepared and waiting for the hosting agent's approval
- Approved reply sent by the agent
- Missing legible contact detail (cannot reach)
- Represented by another agent (logged for brokerage-compliant handling)
- Review pending items with the listing agent: If a visitor asked for a seller disclosure or property history item, have the listing agent review and approve the document before anything is sent.
A clean Monday sign-in check keeps your team organized, but be clear about what it cannot prove:
- It cannot prove a visitor's readiness or financing: Signing a sheet at an open house does not tell you whether a visitor is pre-approved, browsing the neighborhood, or planning to move this year.
- It cannot verify fake or incomplete contact info: If a visitor wrote a disconnected number, a checklist only shows that the contact failed when your agent tried to reach out.
- It cannot replace agent review or fair housing compliance: Every follow-up message and document share requires a licensed agent or staff member to review the content and ensure uniform, compliant service for every visitor.
