AI receptionist for salons: booking, no-shows and rebooking

Quick answer

An AI receptionist for salons answers calls on your own number while you are with a client. In Omni Studio, Mia books by stylist, service length and room, texts back missed calls and drafts reminders. You approve each booking, and deposits, cancellation fees and refunds wait for you.

We set up the workflows described here during Custom Build or Enterprise setup, using your records, tools, and approval rules. We agree on the scope with you first. Custom workflows are not included in the Pilot. Examples illustrate a possible setup, not a promise that every step is ready in a free workspace.

An AI receptionist for salons is an AI employee that answers the phone on your own number while you are at the chair. Mia checks the calendar, books by stylist, service length, and room, texts back missed calls, and drafts reminders. You approve each booking, and deposits, cancellation fees, and refunds wait for you.

Deposits, cancellation fees and refunds wait for you.

  1. 1. Calls and texts Answered on your own number
  2. 2. Booking By stylist, service length and room
  3. 3. Deposits and fees Drafted, then your yes
  4. 4. Rebooking Next visit proposed, waitlist offers drafted

Why do salons lose bookings at the chair?

You cannot answer the phone with foils in your hands. The next client walks in, and the phone rings.

When the phone rings at a salon, and what is happening at the chairs
When it rings What the caller wants What is happening at the chairs
Mid-morning on a color day A cut or color for next week Foils are in and the timer is running
Saturday, all chairs full Any opening today, a quick question Back-to-back clients, no free hands
Right after a cancellation Nothing yet; a client is waiting for a slot An empty chair and a waitlist nobody has had time to read

What does an AI receptionist for salons do on your number?

AI phone answering is available. Mia, the chief of staff, answers calls on your salon's own number and texts back missed calls.

Mia is the only AI employee on your outside phone line. The seven AI employees include others who work behind it.

What the phone line does, and what it hands to you
Call or text What Mia does What happens next
A request for a cut or color Reads the calendar and matches stylist, service length and room, then offers two times A drafted booking and text wait for you to approve
A missed call Texts the caller from your number with a link or two times The reply lands in your queue
A change or cancellation Finds the booking and drafts the change You approve the change; a freed slot is offered to the waitlist
A question about price exceptions or a treatment Records the question and does not answer it A person on your team replies

The call is answered while your hands stay on the client.

A caller is never promised a time. The confirmation text goes out after you approve.

The call is answered and written up, the booking is drafted, and nothing is confirmed until you approve it.

How does it book by stylist, service and room?

Service times vary. You write down how long each service runs, the gaps for processing time, and which stylist does what. During setup, we configure AI employee Hank to find times that fit the whole block. Mia handles the phone intake.

What waits for the owner, and what about deposits?

AI employees read, draft and prepare. Sending, spending, signing and changing records wait for your approval by default, and every decision is logged.

What waits for the owner, and why
Decision What is drafted Why it waits
A deposit request The amount from your policy and the cancellation terms It is money, and the policy is yours
A late-cancel fee The fee, the booking time and when the client canceled A fee can sour a loyal client
A refund The amount and the reason from the record It is money leaving your account

AI employee Nora, who handles billing, books and reports, drafts the deposit request from your policy. Card payments run through Stripe (available), and charging a card always waits for approval.

Many guides say a deposit works better than a reminder. We found no study that compares the two for salons, so we make no claim about which is stronger. Try each on your own bookings.

The deposits and no-show use case shows both, drafted for your approval, with a kind note after a missed visit.

How do rebooking and waitlist offers work?

Two habits fill more empty chairs: offer a canceled slot to the clients waiting, and book the next visit before the client leaves.

Sample data: one stylist's Friday at a fictional salon, 7 hours of chair time

  • Kept appointments5 hours
  • Canceled slot filled from the waitlist1.5 hours
  • Still empty0.5 hours
  • Chair time7 hours

5 + 1.5 + 0.5 = 7 hours of chair time

Sample data: a canceled slot offered to the waitlist can become booked time.

When someone cancels, Mia reads the open slot and your waitlist rules, then drafts one offer per client in order, and you approve before anything is sent. The first yes gets the slot.

Waitlist rules for canceled appointments covers the four choices to write down.

AI employee Reggie, who handles marketing and growth, drafts a gentle note to regulars due for a visit. Mia proposes the next appointment, say six weeks out. Both wait for your approval.

What about spas and med spas?

Spas book by provider, treatment length and room. Treatment questions go to your providers. For a med spa, read the med spa receptionist guardrails. The personal services workspace is set up with you.

How does it fit your booking software?

Frequently asked questions

Does it answer on the salon's existing number?

Yes. In Omni Studio, Mia, the chief of staff, answers calls on your own number and texts back missed calls. Each call is written up on the client's record.

Can it book an appointment on its own?

Not by default. It matches stylist, service length and room, offers two times and drafts the booking and the text. You approve it. You can later choose what may run on its own, and every decision is logged.

Does it charge deposits or cancellation fees?

It drafts the deposit request and the cancellation terms from your policy. Charging a card, collecting a fee or refunding a deposit always waits for your approval.

Does it connect to my salon booking software?

We confirm your salon booking tool, account access, and data import during setup. It also works with 1,500+ apps through Composio.
