AI front office for a small business, step by step

Quick answer

An AI front office is a group of AI employees that handle the first steps of work as it arrives: calls, intake, scheduling, and follow-up. They read each message, collect the details, draft the next step, and wait for your approval before anything goes out. In Omni Studio, Mia is the chief of staff and AI receptionist.

An AI front office is a group of AI employees that handle the first steps of work as it arrives. They read each missed call, text, form, and email, collect the details you need, draft the next step, and wait for your approval before anything goes out.

The goal is fewer dropped details and fewer promises made in a hurry.

The work comes in four parts: calls, intake, scheduling, and follow-up. Here's what an AI employee prepares in each, what stays with you, and how to start.

What are the four parts of an AI front office?

Every small business has a front office, even if it is one person with a phone. Here are its four jobs and how the work is split.

The four parts of a front office, what an AI employee prepares and what waits for you
Part What the AI employee prepares What waits for you
Calls and messages Reads the missed call, text or email, looks the sender up in your records and drafts a reply Sending the reply
Intake Asks for the details you require and flags what is missing Deciding whether to take the job
Scheduling Finds open times on your calendar and drafts the booking and the confirmation Confirming a booking, and any change to one
Follow-up Lists quotes and requests that went quiet and drafts one nudge for each Sending it, and any discount or change of terms

One note on calls. Answering live phone calls with AI is available in Omni Studio. Today the calls part starts when a call is missed and a text goes back for your approval. Texts go out through your own Twilio number, and the times come from your Google Calendar. The missed-call follow-up checklist covers that part step by step. Why start with intake?

Most front-office trouble starts at intake, the way a new request enters the business. Details get lost between a phone call, a text, and a note on the counter. A complete request passed along once beats half a request passed along fast. A good intake has five steps, and they hold for company intake of any kind: a new customer, a supplier, or a job request.

  1. Calls, forms, emails and texts about the same person land on one record, and you stop keeping four.
  2. Decide what you must know before you can quote or book: name, address, the problem, a good time.
  3. The AI employee checks each request against those fields and asks for whatever is missing instead of passing along half a request.
  4. Whoever picks it up sees the history, so nobody asks the customer to repeat themselves.
  5. The customer gets a short note with a time to expect a reply.

How do scheduling and follow-up work?

Scheduling is where an intake becomes a promise, so a draft matters most here. The AI employee reads your calendar, proposes two real times, and drafts the confirmation. You approve the booking, and the calendar and the customer record update together.

A request becomes a booking, and the customer hears nothing until you approve it.

Most small businesses skip follow-up when the week gets busy. The AI employee keeps a list of quotes, requests, and bookings that went quiet and drafts one short nudge for each. Write down one nudge as the rule, then stop.

Note. This workflow guide does not replace legal advice. Texting and calling rules differ by state, and you stay responsible for yours. Text people who contacted you or agreed to hear from you, and set quiet hours before you turn on any outbound message.

What stays with you?

Write these moments down, so the AI employee passes them to you with a summary instead of answering them.

  • Price exceptions and discounts.
  • Same-day promises and arrival windows you have not checked.
  • Refunds and billing disputes.
  • Upset customers.
  • Emergencies, such as a gas smell, flooding or no heat in winter. A person sees these first, and for gas the message says to leave the area and call 911 and the gas company.
  • Unusual access notes, such as keys, gate codes and pets.

How should you start?

Start with one of the four parts. Missed calls are the usual first choice: they repeat, a reply is easy to draft, and a mistake is a draft you can read before it goes out. Read every draft for the first week or two, and keep a tally of what you sent as written, what you edited, and what you skipped.

Not sure which part to pick? The test in how to decide which job to give your first AI employee takes a few minutes. To see who covers which task, read AI receptionist vs virtual assistant. Frequently asked questions

What is an AI front office?

An AI front office is a group of AI employees that handle the first steps of work as it arrives: calls and messages, intake, scheduling, and follow-up. They read, collect details, and draft the next step. Sending, booking, and changing wait for your approval.

Does Omni Studio have AI phone answering?

Yes. AI phone answering is available in Omni Studio. Mia, the chief of staff, answers calls on your own number and texts back missed calls: it reads the call and the customer's record, drafts a reply with open times, and waits for your approval.

Which part of the front office should I start with?

Start with missed calls. They repeat, a reply is easy to draft, and a mistake is a draft you can read before it goes out. Read every draft for the first week or two, and keep a tally of what you sent as written, edited, or skipped.

What stays with the owner?

Price exceptions and discounts, same-day promises you have not checked, refunds and billing disputes, upset customers, emergencies, and unusual access notes. Write these down so the AI employee passes them to you with a summary instead of answering them.

Will an AI employee send messages without asking me?

Not by default. AI employees read and draft on their own. Sending, spending, signing, and changing wait for your approval, and every decision is logged with who approved it. You decide what, if anything, may run on its own later.
